Understanding Lead Times at Vintage Timberworks
Lead times at Vintage Timberworks vary depending on the type of material selected and the level of preparation required. As a reclaimed lumber supplier with a large, constantly moving inventory, we support everything from same-week material pulls to fully custom fabricated architectural elements. The information below outlines what to expect at each stage and how lead times are typically estimated.
Because reclaimed wood is one-of-a-kind and inventory changes daily, availability, and exact specs/character cannot be assumed based on prior orders. Availability is based solely on current yard stock at the time of inquiry.
Raw & Unworked Yard Materials
Raw reclaimed beams and boards are materials selected directly from existing lumberyard inventory with little or no additional processing required.
For these materials:
Lead times are typically same day to several business days, depending on quantity and accessibility Materials may be pulled by our team (upon receipt of signed quote and deposit) OR hand-selected by the customer based on prior approval of customer needs and scheduled appointment.
Raw materials are selected in their as-found condition. At this stage, surface dirt, oxidation, patina, and roughness can obscure how closely materials will ultimately match once cleaned or milled. For that reason, when selecting raw materials, our team evaluates what will become a good set after processing — not what appears perfectly matched in raw form. If a project does not include “processing” (cleaning, sanding, milling, or fabricating due to scheduling, scope, or budget considerations), materials are not selected for color uniformity or surface cleanliness. Customers should expect variation in tone, patina, and surface condition, and should plan for additional on-site cleaning, sanding, or preparation by others after delivery.
Custom Processed & Fabricated Materials
Custom orders involve additional preparation beyond raw selection and require shop time. These include, but are not limited to:
Custom milled solid beams
Fabricated box beams
Milled planking and wall or ceiling material
Flooring
Custom mantels
Fabricated timber trusses and architectural assemblies
Typical lead time ranges (estimates only):
Custom solid beams & box beams: often in the 6–8 week range
Custom-milled planking: may range from one week to several weeks
Reclaimed wood flooring: often in the 6–8 week range
Timber trusses: often in the 8-12 week range
These timeframes are estimates, not guarantees, and are influenced by current shop workload, material availability, order complexity, and finishing requirements. Customers should always contact our team for a current lead time estimate based on active production schedules.
How Our Program Works
In order for our team to dedicate time toward material selection, pulling inventory, or executing custom processing, Vintage Timberworks works under a quote-based program.
Before material is selected or work begins:
A written quote is generated outlining pricing, preparation scope, and an estimated lead time.
Quotes must be signed and returned, along with a deposit, to initiate the order.
Raw Material Quotes
Quotes for raw, unworked materials are provided as estimates based on projected quantities and anticipated yields. To account for the inherent variability in reclaimed wood selection, raw material quotes include an allowance line item intended to cover estimated excess material required during selection.
Final invoicing is adjusted to reflect the actual tally of material lengths and volumes selected, with any unused portion of the allowance credited accordingly. This approach ensures proper material selection without underestimating quantities or compromising results.
Custom Processed Orders
Quotes for custom processed materials — including milled beams, box beams, flooring, and fabricated elements — are provided as set amounts. These quotes include labor, processing, milling, and the excess material required to achieve final dimensions, appearance, and quality standards.
Once approved (via signed quote returned along with 50% deposit), custom orders move into production based on current shop scheduling.
Availability & Substitutions
Reclaimed wood inventory is dynamic. While we maintain a large and diverse material supply, specific sizes, species, or profiles are not continuously available.
In some cases:
Remaining stock from a previous order may have been fully allocated
Additional material may need to be milled from raw inventory
An alternate species, profile, or construction method may be recommended.
When substitutions are required, our team will clearly communicate options and help identify the best solution based on project intent and timing.
Quoted Lead Times, Pricing & Workload Considerations

Quoted lead times and pricing are based on current shop workload and material availability at the time of quoting and should be understood as estimates only.
Quotes are valid for 30 days, unless material included in the quote is sold or otherwise allocated prior to order confirmation.
If quoted material is no longer available, pricing may change due to material substitution or additional processing requirements
Pricing beyond the 30-day window is subject to change without notice Quoted material is subject to prior sale.
Material is not held or reserved pending client confirmation unless otherwise agreed to in writing.
Lead times and pricing may adjust if project scope or preparation requirements change.
Timely confirmation helps ensure material availability and production scheduling alignment.
